Products & Ordering
The Guest Portal includes a Products section where guests can browse and order extras for their stay. This is your digital storefront -- think of it as a room service menu, a concierge catalog, or a hotel minibar, all in one place. Guests can add items like early check-in, late checkout, airport transfers, welcome baskets, bike rentals, or anything else you offer.
How it works
- You create products in the Products & Services module in your dashboard.
- Products are organized into categories (e.g., "Experiences", "Transport", "Food & Drink").
- When a guest opens the Products section in the portal, they see a browsable catalog of available items.
- The guest selects a product, chooses the quantity, and confirms their order.
- The order appears on the booking in your dashboard as an added charge.
- You fulfill the order and the charge is reflected on the guest's invoice.
What guests see
Product catalog
The Products section displays your offerings in a clean, visual grid. Each product shows:
- Product name -- The title of the item (e.g., "Airport Pickup", "Welcome Basket").
- Description -- A short description explaining what the guest gets.
- Price -- The cost, displayed in the booking's currency.
- Image -- A photo of the product (if you have uploaded one).
- Category -- Products are grouped by category for easy browsing.
Category browsing
If you have multiple product categories, guests see them as section headers or filter options. For example:
- Transport -- Airport pickup, car rental, bike hire
- Food & Drink -- Welcome basket, breakfast package, wine selection
- Experiences -- Guided tour, cooking class, boat trip
- Property Extras -- Early check-in, late checkout, extra towels, baby cot
Guests can scroll through all products or filter by category to find what they are looking for.
Pricing types
Products support different pricing models, and the price shown to the guest adjusts accordingly:

| Per night | Price multiplied by the number of nights in the booking | Baby cot: €5/night → €35 for a 7-night stay |
| Per guest | Price multiplied by the number of guests | Breakfast package: €12/guest → €24 for 2 guests |
| Per guest per night | Price multiplied by both guests and nights | Meal plan: €15/guest/night → €210 for 2 guests, 7 nights |
The total price is calculated automatically and shown to the guest before they confirm the order.
TIP
Use per-night pricing for items that are consumed daily (baby cot, parking, meal plans). Use fixed pricing for one-time services (airport transfer, welcome basket, late checkout). This makes the pricing intuitive for guests.
Ordering process
Step 1: Browse
The guest opens the Products section and scrolls through available items. Products with images are displayed as cards, making it easy to browse visually.
Step 2: Select
The guest taps on a product to see its full description and price. They can adjust the quantity if applicable (e.g., ordering 2 welcome baskets).
Step 3: Confirm
The guest taps "Add to Booking" (or similar) to confirm the order. The product is added as a charge on their booking.
Step 4: Fulfillment
You see the order in the booking's Charges & Extras section. Fulfill the order (e.g., arrange the airport pickup, prepare the welcome basket) and the charge remains on the invoice.
How orders appear in your dashboard
When a guest orders a product through the portal, it is added as a charge on the booking in your hejGuide dashboard:
- The charge appears in the Charges & Extras tab of the booking.
- It shows the product name, quantity, unit price, and total amount.
- The charge is automatically reflected on the guest's invoice.
You can view, edit, or remove the charge from the dashboard if needed. For example, if a guest changes their mind about a product, you can remove the charge manually.
Product availability
Not all products need to appear for every booking. You control availability in the Products & Services module:
- Link products to specific listings -- A "Beach Equipment" product only makes sense for your beachfront property, not your city apartment. See Linking to Bookings.
- Enable/disable products -- Toggle products on or off. Disabled products do not appear in the guest portal.
- Category visibility -- Organize products into categories to keep the catalog clean and relevant.
Products during check-in
Products can also be offered during the digital check-in process. When a guest fills in the check-in form, one of the steps presents available products as upsells:
- The guest sees product cards with images, descriptions, and prices.
- They can add products to their booking as part of the check-in flow.
- This is a high-conversion moment because the guest is actively engaged with their upcoming stay.

Tips for maximizing product orders
- Use high-quality photos -- Products with images get significantly more orders than those without.
- Write compelling descriptions -- Focus on the benefit to the guest, not just what the item is. "Start your holiday with a chilled bottle of local wine waiting in the fridge" is better than "Wine bottle: €15".
- Price appropriately -- Guests are more likely to order extras when the prices feel fair. Compare with local alternatives.
- Offer time-sensitive products -- Early check-in and late checkout are among the highest-converting products because they solve a real problem for travelers.
- Keep the catalog focused -- 5-10 well-chosen products are more effective than 30 mediocre options. Quality over quantity.
