Booking View

The Booking View is the guest's personal dashboard within the Guest Portal. It shows key details about their reservation -- dates, property information, host contact details, and a status label that reflects where the stay is in its journey. Everything a guest needs to know about their stay is in one place.

What guests see

When a guest opens the Booking section of the portal, they see the following information:

Dates and property

FieldDescription
Property nameThe name of the listing (e.g., "Beach House Marbella")
Check-in dateThe first day of their stay
Checkout dateTheir departure day
Number of nightsAutomatically calculated from the dates
Number of guestsHow many people are included in the booking
Journey statusA friendly label for where the stay is right now (see "Booking status" below).

Property address

The full address of the property is shown with a link that opens the guest's preferred maps app (Google Maps, Apple Maps, or Waze) for turn-by-turn directions. This is especially valuable for guests arriving by car who need navigation to the property.

Where guests find WiFi

The booking view does not show WiFi credentials directly. Instead, put your WiFi network and password on a guidebook page (for example a "WiFi" or "House Info" page). Guests reach it by browsing that page or by using the in-guidebook search, which surfaces matching pages. Keeping WiFi on a guidebook page also means it is translated and styled like the rest of your content.

Host information

The guest can see:

  • Host name -- Your name or your property management company name.
  • Host photo -- If you have uploaded a profile photo, it is displayed to personalize the experience.
  • Contact details -- Phone number and/or email, depending on what you have configured. Guests can tap the phone number to call directly from their mobile device.

Check-in instructions

If you have set up check-in instructions for the listing, they are displayed in the booking view. This is where guests find information like:

  • Door codes or lockbox combinations.
  • Key pickup instructions.
  • Parking information.
  • Specific arrival procedures.

These instructions are shown alongside the booking details so guests can find them at the moment they need them -- typically when they are standing at the front door.

Booking status

The status shown to the guest is a journey-phase label derived from today's date relative to their check-in and checkout dates -- not an internal reservation status like "Confirmed" or "Pending". The phases are:

PhaseShown when
UpcomingThe stay is still some way off (with friendlier wording like "soon" or "tomorrow" as it approaches).
TodayIt is the check-in day.
StayingThe guest is mid-stay.
CheckoutIt is the checkout day.
PastThe stay has ended.

The label updates automatically based on the dates -- there is nothing for you to set.

What guests cannot see

The booking view is designed to show guests only what is relevant to them. Guests do not see:

  • Financial details (rates, charges, or payment amounts) -- these are in the Invoice section instead.
  • Internal notes you have added to the booking.
  • Channel or source information (whether it came from Airbnb, Booking.com, or direct).
  • Housekeeping status or task assignments.
  • Other bookings for the same listing.

Accessing the booking view

Guests access the booking view by:

  1. Tapping the magic link in their email -- lands them directly on the booking page.
  2. Navigating within the portal -- Using the bottom nav (mobile) or sidebar (desktop) to select "Booking".
  3. Date-based login -- After logging in with their dates and last name, the booking view is the first thing they see.

The portal is a single-page experience that lives at the guidebook URL -- the booking tab is the default view at the guidebook root:

https://guide.hejguide.com/{guidebook-slug}

A magic link first hits the entry route https://guide.hejguide.com/api/auth/portal?token={token}, which signs the guest in and redirects them here.

Keeping information up to date

Everything shown in the booking view is pulled directly from your listing and booking settings in the hejGuide dashboard. To update what guests see:

  • WiFi details -- Put these on a guidebook page (e.g., a "WiFi" page). Editing the page updates it for guests immediately, and the in-guidebook search will surface it.
  • Check-in instructions -- Update them on the listing's check-in instructions page.
  • Host information -- Update your profile name and photo in Account Settings.
  • Property address -- Edit the listing's address in Address & Location.

Changes take effect immediately -- there is no delay or re-publish step.
